Set up your company

Your company holds your programs, partners and rewards. Set it up first, then connect your checkout before sharing referral links with customers.

Create an account

  1. Open Grizzlee. The page opens on Create account.
  2. Enter your name, email and password. Creating an account means you agree to the Terms of service. Verify your email using the message Grizzlee sends.
  3. Sign in. On Tell us about your company, enter your Company name and Currency.
  4. Check the box to accept the Terms of service for your company and confirm you have read the Privacy policy. Both links open in a new tab.
  5. Choose Create company to open your dashboard.

Forgot your password? Choose Forgot password on the sign-in page and Grizzlee emails you a reset link. If you open an old reset link, sign-in tells you it expired and shows the same form, so you can request a new reset link right away.

This page is for merchants. Partners join from your program page and sign in on Partner login, which takes them to the partner portal instead of company setup. An account that is only a partner always opens the portal. See Let partners sign up.

Use the currency in which you plan to record rewards. Grizzlee suggests one from your browser's region, CAD in Canada. You can't change it later. An account belongs to one company. A business with several shops, such as a coffee chain, is one company. Add each shop as a location under Loyalty. See Locations and staff scanning.

Follow the setup steps

A new company's Home page first asks What do you want to start with? Choose Create a card for a loyalty card or Create a program for referrals. You can add the other one later.

Once you have a loyalty card, Set up your loyalty card lists four steps: Create your card, Print your counter poster, Set up the scanner and Give a first stamp. Print poster opens the poster of your first published card. A draft card has no sign-up page, so the step asks you to publish it first. The poster step counts as done once a first customer joins.

Once you have a referral program or a partner, Set up referrals lists five steps: Create a program, Get a working referral link, Add your first partner, Connect your online store (Shopify or Stripe) and Receive a first order. The link step waits until a program exists. I have a developer opens the developer walkthrough, which covers server API keys.

Start on a step opens the place where you do it. Only owners and admins can connect your store, so other roles see "Ask an owner or admin to connect your store." on that step instead of Start. Each list disappears once its steps are done. Dismiss hides a list in this browser, and Show setup guide brings back a dismissed list that isn't finished.

The tiles follow the products you use. With a loyalty card, Customers counts the cards customers hold now, so it can be lower than New sign-ups. Visits, Rewards redeemed and New sign-ups cover the last 7 days. With referrals, Sales from referrals, Partner earnings and Active partners appear. When your store sends orders without totals, Sales from referrals says so and links to the setup. The daily sales chart and Top partners appear after a first referred order, and Recent rewards after a first reward.

Until you use referrals, the Home header offers New card. Once the Referrals group shows in the sidebar, it offers Send a test order and New program instead.

Set up your first program

Open Programs, then New program. Start from scratch or from a template, answer who shares your link and what everyone gets, then name the program and choose the page its links open. Choose a program type helps you decide between a referral and an affiliate program, and the program guide explains each step.

Add a partner or publish a signup page using the partner guide. A partner must belong to the program to earn its rewards.

Connect your checkout

Your website needs to record the referral and report confirmed payments to Grizzlee. Creating a program or generating a link does not connect checkout by itself.

To connect Stripe or Shopify without code, an owner or admin opens Settings, then Connections, and chooses Connect provider. The form shows the Provider webhook URL first. Add it in Stripe or Shopify, paste the signing secret they give you, then choose Save connection. For Paddle, Lemon Squeezy or Chargebee, follow Connect Paddle, Lemon Squeezy or Chargebee. Each connection shows a status line, such as when its last event arrived or how many events need attention. Choose Open events to see and retry those events in Developers.

Server keys, website tracking keys and webhooks are under Developers in the sidebar, and only owners and admins can change them. Each company starts with a tracking key called Default. Choose Edit on it to copy the Publishable key and add your website under Website origins. Until then it captures nothing. Send your developer the developer walkthrough. Keep server keys out of customer-facing pages and mobile apps. Choose Delete on a key or webhook you no longer use. A key stops working right away, and so do referrals captured with a deleted tracking key.

Your server can send whether a customer is new from your own order history, including placed but unpaid orders. Then it only needs to report referred purchases and needs no purchase-count import. If it leaves that answer out, Grizzlee needs every completed purchase and earlier purchase counts to determine newness. Shopify checks its full order history. Stripe accepts your server's answer in grizzlee_new_customer metadata on charges and invoices. Without that metadata, Grizzlee uses its own order count.

Stripe connections have two settings for subscriptions:

  • Record paid invoices as orders records each paid invoice, including subscription renewals, as an order. Grizzlee skips the charge that paid a recorded invoice so the payment earns once. This needs a Stripe secret or restricted key with the required read permissions.
  • Find referred customers by email lets a new Stripe customer use an earlier referred customer's ID when the email matches exactly one referred customer. It applies only when Grizzlee finds no customer ID, receipt, reference or referral code in the Checkout Session or payment metadata. It is off by default and requires Record paid invoices as orders. Shared or reused emails can link the subscription to another customer.

When you connect Stripe, email lookup is under More. You can change both later in Settings, then Connections. Turning off invoice recording also turns off email lookup.

Choose Disable on a connection and confirm to stop it. Grizzlee then refuses that provider's events, so new orders earn no rewards and refunds no longer reverse them. Discount codes already in Stripe or Shopify keep working until you remove them there. A disabled connection can't be turned back on. To start again, choose Connect provider and add the new Webhook URL in Stripe or Shopify.

Before launching, have your developer confirm that a referral reaches Grizzlee and that a paid order creates the reward you expect. Use a separate company for example records. Live orders and rewards are real records.

Record referrals with the website script

If customers pay through Stripe Payment Links, a Stripe pricing table, a Stripe buy button, a Shopify store, Lemon Squeezy checkout links or Paddle checkout buttons, you can record referrals without a developer. You paste one line into your website once.

  1. Open Developers and choose Edit on your tracking key.
  2. Under Website origins, add your website's address, such as https://your-business.com, and choose Save tracking key. Add each address customers use, such as https://www.your-business.com. The script records nothing on an address that isn't listed.
  3. Choose Edit again and copy the Website script.
  4. Paste it into the <head> of every page of your website. On Shopify, open Online Store, then Themes, choose Edit code on your theme, open theme.liquid and paste it just before </head>. Most website builders have a setting for code in the head of every page.
  5. Connect your payment provider in Settings, then Connections, if you haven't. The script only records the visit. The connection tells Grizzlee about the payment.

When a visitor arrives through a partner's link, the script records the referral in their browser. It then adds the referral to the Stripe Payment Links, pricing tables and buy buttons on your pages, to Lemon Squeezy checkout links and Paddle checkout buttons, and to the Shopify cart. When the customer pays, the connection credits the partner. The script sets no cookies and never sees payment details.

Some setups need one more step:

  • Stripe subscriptions need Record paid invoices as orders on the Stripe connection.
  • One-time Stripe payments need a Stripe customer, and Stripe creates none for a one-time Payment Link by default. Stripe's Payment Link editor has no switch for this. Your developer sets customer_creation to always on the link through the Stripe API. Don't turn on the Payment Link's post-purchase invoice to get a customer while Record paid invoices as orders is on, because Grizzlee can't yet promise to count that payment only once. The Stripe key on the connection also needs read access to Checkout Sessions.
  • On Shopify, the script puts the referral on the cart. Express checkout buttons on a product page, such as Buy it now, skip the cart, so those orders carry no referral.
  • If your developer's own server code creates the Stripe checkout, the script can't reach it. Send them the script guide.

Give your team access

Owners and admins open Settings, then Team. Choose Invite teammate, enter their email, choose a role and choose Create invitation. Copy the Invitation URL and send it to that person. The invitation page says who invited them, to which company and in which role, and which email to sign in with. It expires after 7 days. Someone who already works in another Grizzlee company cannot accept it with that account. They can sign in with a different email, or ask that company to remove them first.

Members lists everyone with access. Change someone's role from the menu in their row, or choose Remove. Nobody can raise their own role, and only owners can make someone an owner. A company always keeps at least one owner, so make someone else an owner before you step down. Pending invitations lists invitations nobody has accepted yet. Choose Revoke to cancel one. Owners and admins can leave the company with Leave on their own row.

Team access lets someone work in your merchant dashboard. It is separate from joining as a partner. Owners and admins manage settings and payouts. Editors can edit programs and partners and review rewards. Viewers have read-only access. Where buttons or fields are greyed out for them, the page says "Viewers can't make changes." Your role shows next to your name at the top of the account menu.

Choose your languages

Grizzlee speaks English, French, Armenian and Russian. Owners and admins open Settings, then Languages, to pick the languages your partners and their customers see. Choose a language under Add a language, use the arrows to change the order, then choose Save languages. The first language is marked Default. Partners who have not picked a language, or picked one you do not serve, get the default in emails and the embedded dashboard. The partner portal and signup pages try the visitor's browser language first.

Each program needs its name in every language you serve, so add the copy before you add a language to a company with programs. Removing a language keeps the text you wrote in it, so adding it back restores it.

Your own dashboard language is separate. Open the account menu at the bottom of the sidebar and pick one under Language. Account in the same menu shows your name and email. To change your password there, choose Email me a reset link. The language you pick applies to your account in every company, and the dashboard writes amounts, dates and numbers the way that language does. Sign-in, company setup and invitation pages use your account's language once you are signed in, and your browser's language before that. Names and text you enter, such as program and partner names, stay as you typed them. Owners and admins also find Customer and partner languages in the account menu, which opens the Settings tab above.

See your bill

Owners and admins open Settings, then Billing. Software bill shows this month's Billable orders and the estimated bill, in USD. Loyalty cards, stamps and messages don't count as rewarded orders. Old links to Usage & pricing open this tab.

Until Grizzlee turns billing on, the card says Billing not connected and Grizzlee doesn't charge you. After that, a Subscription card shows your status and current period. Choose Subscribe to pay in Stripe Checkout. The plan costs $29 USD a month, includes 1,000 billable orders and charges $0.005 for each order after that. Stripe keeps your card details, and Grizzlee never sees them.

Once you subscribe, Manage billing opens Stripe, where you update your card, download invoices or cancel. If a payment fails, the card says Your last payment failed and Stripe retries the charge. Grizzlee keeps working while you fix it. Stripe bills by subscription period, which starts on the day you subscribe, so an invoice can cover different days than the calendar month on this tab.

Delete your company

Only owners can delete a company. Open Settings, then Privacy and account, and choose Delete company in Danger zone. Type the company name and choose Delete company again. This cannot be undone.

The company disappears for every team member and partner. Every server key and tracking key stops working right away, and webhooks, Stripe and Shopify connections, the embedded partner dashboard, partner emails and program signup pages stop. Grizzlee then erases partner names and emails and customers' personal data. Orders, rewards and payouts stay as records. Discount codes created in Stripe or Shopify keep working until you remove them there.

Pay or cancel every unpaid payout first. Deletion stops while any payout is waiting to be sent or confirmed, and while the payout schedule holds payouts for partners who have not connected Stripe. To clear those, set Partners without a Stripe account to Create a manual payout and pay the payouts it creates. Approved earnings that are not in a payout yet are never paid after deletion. Page addresses are freed for other companies. After deletion the dashboard opens your next company, or company setup if you have none left.
